Top 10 Questions You MUST Ask an Event Planner Before Your Next Speaking Gig

Last week we started talking about getting started as a professional speaker, and some tips to give your business a boost. One of the key points is to be polished, professional and at ease, in any situation – the best way to do this is to be prepared – for everything.

I had the opportunity to sit in on a keynote a few years ago, that was an honor to attend. I was amazed at how she spoke to a room of thousands, yet made it feel like I was one of very few. However, I cringed watching her walk onstage, in heels, with stairs, dimly lit, I don’t know how she didn’t fall. Had she stumbled, the talk would have been ruined, and she would have been embarrassed. The lesson, asking the room set up before the event (stairs and lighting!)

Here are our top 10 questions you should ask the event planner before any speaking engagement:

  1. Will the event be recorded, and can you get a copy of the recording? You’ll also want to confirm, if they’re willing to share the recording, that you’re OK to post all or part of it on your website or social media.
  2. What is the dress code for the event? If the event is business casual, you want to dress slightly above without being formal. If the event is black tie, you should be on level with the attendees.
  3. Is there a networking/casual event you can attend either before or after, or both? This is something very few speakers ask to do. Attending a casual event prior allows you the opportunity to see how the group interacts and how that lines up with your talk. Also, networking with attendees later gives you the opportunity to further engage with attendees.
  4. Will there be a podium? We don’t recommend standing behind a podium for your whole talk, but it is nice to have a “home base,” somewhere to put your water glass down or leave some notes.
  5. Will there be a microphone, is it handheld or lapel? If it’s a lapel mic, make sure you’re wearing something that it can be comfortably clipped to.
  6. Will there be Q&A, how will questions be facilitated? Also, ask how much time should be left for questions. A little tip is to have “bonus” content prepared if there are no questions.
  7. Will there be technical support present? Very important in a large room when using a mic, or if you’re doing a slide presentation.
  8. Ask if you can get a list of attendees? If not, ask if you can offer a giveaway to collect business cards – just remember to abide by spam laws, and make sure your first contact with attendees confirms their permission to continue emailing them.
  9. What is the room set up? How many people will be in the room? Will there be a stage, or are you on level with attendees? While most of this doesn’t affect your talk, it does help you get a sense for the room.
  10. Can you get into the room ahead of time to set up, test audio? How hard is the stop on the session? Do you have time to mingle as people are entering or departing from the room? It’s a great time to exchange business cards.

So why all the questions?

First, you want to be prepared. The more you know in advance, the more comfortable you’ll be.

Second, each speaking engagement is not just one speaking engagement. It’s a room full of opportunities to continue to impact your target audience.

You Could Be Sabotaging The Long-Term Success of Your Own Business

As entrepreneurs we’re challenged to find ways to attract new customers and clients, manage our time efficiently, use our funds wisely, promote our business in a cost-effective manner and develop a strategic plan. Many of us attend conferences, networking events and training sessions seeking some new and profound revelation that will catapult our business to the next level. Rather than being inspired, it’s blah, blah, blah… we’ve heard it all before and often walk away disappointed that it was just a waste of time. Not because there wasn’t anything of value to take away, but because we graded the experience based upon how much of the teaching was more of the same rather than honing in on that little nugget that could dramatically improve our bottom line.

Suppose you were to take off in a ship at the equator with the intent to sail the globe. Let’s say you plot out your route but, without realizing it, you’re off by one degree. By the time you return to the same longitude, you would be off course by a thousand miles. This same principle can be applied to your business, but with positive results.

The key to building a long-term, thriving business does not always require a major overhaul, but it could be a matter of making a small shift in the way you’re currently doing business. It all depends upon your stage of development. If you’re a start-up, it’s not uncommon for you to make major changes in the beginning. But, if you’ve been in business a while and you’re looking to take it to the next level, more than likely you may only need to make incremental shifts to position your business for long-term, sustainable success.

A few years ago I had the privilege of a one-on-one business strategy session with the networking guru, George Fraser. I soaked up every word like a sponge. During the course of the hour, he shared many aspects of business that were not really new; I’d heard them before. I knew, however, that at his level of success, there was something he could impart to me that would be a game changer. Well, he didn’t disappoint! In answering my question, “George, what is the secret to your success?” he advised me to “Build your platform.” I realized that I needed to be consistent. This meant taking strategic steps to grow my market, expand my message which, in turn, would establish my brand.

I had heard this before but, for some reason, it didn’t have the same impact. This time I had a light bulb moment! Suddenly I realized that this could very well be the one degree shift I needed to profoundly impact my business for long-term success.

Four little words that can sabotage the success of your business are, “I already knew that.” It’s not what you know that determines your success, but it’s what you do with it that makes the difference. If you’re hearing more of the same, it could be an indication that you’re further along in your development than you realized. Enter every learning opportunity with an open mind. Don’t make the mistake of overlooking the obvious in search of the spectacular. The key to unlocking the future of your business may be just one degree away.

Stop Managing Your Time and Do This Instead

Racing to the next meeting. Hurrying to finish the project.

That can define your days. And busy as you are, it can still leave you feeling that you haven’t used your time well.

With all our many time management systems, time still seems to slip by. You haven’t accomplished everything you wanted to.

The fundamental basis of time management is that it’s a limited resource, something to be managed and every drop squeezed out of it.

That can leave you feeling exhausted.

I’m here to recommend an alternative.

Instead of clock-watching, focus on your priorities instead. What is most important to you in terms of the impact that you want to have?

In order to do that, you’ll have to clearly define for yourself and for your company what your intended impact is. How will you grow and develop your amazing self and company and contribute to making the world better for all of us? That’s the essential question about your impact.

To focus you in, it’s valuable to develop one statement that, on a high level, encompasses the impact you want to have.

You may already have that clarity. If you do, write it down! That’s your Impact Purpose statement.

If you don’t, one way to start to access that clarity is to think back on the things you’ve done that have felt very fulfilling for you. Is there a common thread?

Once you have your Impact Purpose statement, incorporate a focus on impact into your planning, and each quarter, each week, and each day will give you the opportunity to have more impact.

If you can include at least one impactful thing in your day, you’ll make a big impact over time.

A Simple and Powerful Tool for High-Impact Achievement in 2019

It’s coming up to a new calendar year. A great time for planning.

When you plan for your upcoming year, you can be ably guided by your Impact Purpose. That defining statement that summarizes the impact you want to have with your business. I’ve covered the process for clarifying your Impact Purpose in other articles, so I won’t focus on that here.

With your Impact Purpose, it clarifies the ‘what’, but not the ‘how’.

Here’s a simple and powerful tool you can use to guide your ‘how’ in the coming year.

You may have heard of the ‘word of the year’. It’s an aspirational word that encompasses the feeling of how you want to move into and through the year. It captures an elegant idea, the essence of something significant for you. It becomes the catalyst for a deep shift in your way of being.

A meaningful word that really engages your power is about both you and others, how you treat yourself and others, including your clients, your employees, and your suppliers. A meaningful word helps you delineate the ‘how’ of your everyday actions.

In my own past, I’ve used words like, ‘courage’, ‘abundance’, and ‘connect’. To help remind me, I’ve printed the words on index cards and even had a bracelet made one year.

These words have proven to be a powerful guide when I am in the weeds and forget who I am and what I want to achieve. So why not just choose a word of the year for 2019?

Because I’ve changed. I no longer plan my year on an annual basis. I’ve found that annual planning is not nearly as effective as planning for 12 week periods. In those 12 weeks, I can maintain high energy. I can stay highly motivated. I can get a TON done. And at the end, I can celebrate my accomplishments.

With a longer time frame, like a year or more, all of those things fade. The year’s end seems far away, with lots of time to get things done.

Truth? The year’s end will sneak up on you, and you may find that you didn’t accomplish nearly as much as you’d planned.

Using the 12 week time frame has been a powerful shift in planning for me. And I needed an aspirational ‘how’ to match it.

So in this coming year, I’ll be choosing a word of the quarter instead. A word that summarizes the feeling of how I want to move through my 12 weeks.

We all need inspiration for our aspirations.

You can be inspired by adopting this practice yourself, and really kick up serious and impactful change in your first quarter of 2019.

Take Charge Of Your Life With These Top Leadership Tips

The unique assemblage of traits and qualities that comprise a truly great leader can sometimes prove quite mysterious and elusive. To really grasp what effective leadership entails, it is important to acquire a thorough education on its principles and truths. Be sure that you spend some time each day out of your office, and in the midst of the workforce. Try to be a part of the group, while maintaining your leadership role. You can use this time to get to know your employees, ask questions or even join them for lunch.

Promotions, bonuses and raises should always be fairly distributed and based on performance. Don’t simply promote the person who has been working with you the longest or hand out the biggest rise to a family member. Your employees will be more motivated when they know that they can earn tangible rewards for working hard.

Spend more time in the office than out of it. It may be exciting to travel everywhere that you can, but suitcase leadership doesn’t really inspire the teams back at the main office. If you find yourself travelling more than half the time, then you can be sure your employees aren’t seeing you as their leader. They need to see you there.

Don’t fear to fail. Failing is something that many great leaders have done, and it has only spurred them on to greater victories. If you fear failure, you may be afraid to act boldly, which is the only way for a leader to act. If you fail at something, use it to help you change directions.

Be prepared for conflict and try to deal with it before it gets out of hand. Ignoring conflict will make the problem worse and make you look too weak to handle it. Practising good communication skills with your employees will help them feel more respected even if they don’t agree with specific decisions.

Keep in mind that hope is not always a good thing. If you or your business are involved in a situation that has an inevitable and bad ending, do what is necessary to terminate the situation and move on. Employees will never forgive blind optimism in such circumstances, and it’s better for everyone to have a bad situation behind them as soon as possible.

Good leaders hire good people to work for them. If you refuse to hire individuals that you fear may become the competition, you undermine your own chances for success. Search out people who are as passionate about your industry as you are and encourage their problem-solving abilities and reward their successes.

Anyone in a leadership role should be concerned about trust. You must be able to trust your team or workforce, and they must also be able to trust you. Try having a meeting periodically with a small group, where trust issues are discussed, and solved. Look for good articles on the subject of trust in the workplace, and read them with your group, giving each other feedback and suggestions.

As a leader, you are responsible for forming the goals and aspirations of your team. Come up with a best-case scenario for your team, and your vision for the future. Share these goals with them, and ask them for their feedback and suggestions. A true leader has a team under him that is focused on the same goals, and how to achieve them.

Always listen to feedback. The opinions of your employees are important and can be helpful. Some criticism might be hard to take, but try to be receptive to it. Make sure your workers know they can come to you with any feedback they might have. Point of views that differ from your own is valuable.
